Enabling and Disabling a Workflow
How to enable or disable an approval rule and its effect on active documents
Enabling a Rule
- Navigate to Settings → Approval Workflows.
- Find the rule you want to enable.
- Toggle the Active switch to on, or click the rule and click Enable.
Once enabled, the rule is evaluated for all newly submitted documents.
Disabling a Rule
- Navigate to Settings → Approval Workflows.
- Find the rule you want to disable.
- Toggle the Active switch to off, or click the rule and click Disable.
Effect on Active Documents
Disabling a rule does not affect documents already in an approval chain. Those documents continue through their existing chain until it is complete or rejected.
Only new documents submitted after the rule is disabled will no longer match it.
Temporarily Disabling All Workflows
In exceptional circumstances (e.g., system migration), an Administrator can disable all approval workflows at once:
- Go to Settings → Approval Workflows.
- Click Disable All.
- Confirm the action.
Warning: With all workflows disabled, documents will be automatically approved without any approval steps. Re-enable workflows as soon as the exceptional circumstance is resolved.
